Why look for a Hiver alternative
Hiver's premise is specific and, for the right team, genuinely good: it turns Gmail into a shared helpdesk. If your support load is a few shared inboxes and your team already lives in Google Workspace, I've watched non-technical teams pick up Hiver's assignment and collision detection within a morning. The reasons to look elsewhere cluster around three things.
First, cost at scale. Hiver has moved steadily upmarket. At time of writing, Hiver Omni plans run $25 per user per month billed annually for Growth, $55 for Pro, and $85 for Elite (monthly billing adds about $10 per tier). The features most growing teams eventually want — SLAs, a customer portal, CSAT surveys, advanced analytics — sit on Pro and above, so the plan you budgeted for is rarely the plan you end up buying. Voice is an add-on on every tier.
Second, the Gmail anchor cuts both ways. If you run Outlook, or a mixed stack, Hiver isn't an option at all. Even Google-native teams eventually hit the boundary: deeper quality management, topic analytics, and skill-based routing live on the higher tiers, and some teams simply outgrow the shared-inbox data model.
Third, channel depth. Hiver grew out of email collaboration and has layered chat and self-service on top. Teams whose support is chat-first, who need a mature knowledge base with structured authoring workflows, or who want a full ticketing object with heavy customization, often find Hiver lighter than a purpose-built helpdesk.
The alternatives compared
I evaluated these on five criteria: what you actually get at the entry paid tier, where each tool genuinely beats Hiver versus where Hiver stays ahead, the depth of reporting and automation, how pricing behaves as seats and volume grow, and whether the product is still actively sold and supported. Prices are what I could verify at time of writing and change often. Two picks on this page carry serious caveats — one is being retired, one I could not verify at all — and I say so plainly below.
Intercom
Intercom is an AI-first customer service platform: a messenger, shared inbox and ticketing, a help center, and Fin, its AI agent that resolves conversations and charges per outcome — $0.99 per Fin resolution at time of writing, on top of seat plans that start around $29 per seat per month billed annually on Essential and rise to roughly $132 on Expert. Where it beats Hiver is channel and AI depth: Fin is the most mature support agent I've tested, the messenger supports in-app chat, banners, tooltips, and product tours, and the platform was built for product-led SaaS support rather than retrofitted onto email. Switch if your support is conversation-heavy, you want an AI agent doing real resolution work, or your users live inside your product rather than in email threads.
Stay if cost predictability matters. Intercom's bill stacks seats, Fin outcomes, and add-ons (Proactive Support Plus at $99/month, a Pro add-on from $100/month), and I've seen monthly spend surprise teams who modeled only seat costs. Hiver stays simpler and cheaper for email-centric teams, and it keeps agents in Gmail rather than asking them to adopt a new workspace.
Freshdesk
Freshdesk is the value pick in the helpdesk category: ticketing, shared inbox, a customer portal, knowledge base, and Freddy AI, from $19 per agent per month billed annually on Growth, $55 on Pro, and $89 on Enterprise at time of writing. Against Hiver, the case is breadth per dollar. Even Growth gives you a real knowledge base, portal, roles and permissions, and out-of-the-box reporting; Pro adds multilingual helpdesk, intelligent routing, multiple SLA policies, and custom dashboards. Switch if you want a standalone helpdesk with proper ticketing objects and reporting without paying Hiver's Pro-tier price.
Stay if Gmail-native work is the point. Freshdesk is a destination app: agents work in a browser tab, not their inbox, and the migration cost is real for teams whose entire workflow is email. Also watch the add-ons — Freddy AI Copilot at $29 per agent per month, extra AI sessions, and day passes — because the headline price understates a fully equipped desk.
HubSpot Service Hub
Service Hub is the natural move for teams already in HubSpot's CRM: tickets, live chat, a knowledge base, customer portal, and feedback surveys share one database with your marketing and sales data. Pricing at time of writing: free tools, Starter at $7 per seat per month promotional pricing (list around $20), Professional at roughly $90 per seat per month, Enterprise around $150 per seat per month. Where it beats Hiver is context — a support agent sees deals, marketing emails, and lifecycle stage without leaving the record, and the reporting ties service activity to revenue. Switch if support and sales need one customer record and you'd rather not run a separate helpdesk.
Stay if you don't want HubSpot's commercial model. Professional tier pricing, paid onboarding on higher tiers, and credit-based AI features add up, and if you don't need the CRM half, you're paying for a platform you won't use. Hiver at Growth is cheaper for a pure shared-inbox team.
Zendesk Sell
Skip this one. Zendesk announced on 9 September 2025 that Zendesk Sell will be retired on 31 August 2027, with data deleted when a subscription ends or on that date, whichever comes first. Zendesk's support suite continues and is a serious Hiver competitor ($19 to $115 per agent per month billed annually for the support and suite tiers at time of writing), but the Sell product is not something I'd direct any new buyer toward in 2026. Switch if: nobody, at this point. If you already use Sell, plan your export now rather than waiting for the deadline.
Agile CRM
Agile CRM bundles sales, marketing, and service — including a small helpdesk with groups, labels, canned responses, and views — and its free tier covers 10 users and 1,000 contacts. That free tier is the entire pitch: for a tiny team that wants ticketing plus basic marketing automation at near-zero cost, it beats Hiver's floor price immediately. Paid tiers have historically started under $10 per user per month on long-term billing. Switch if budget is the binding constraint and you can tolerate an aging product.
Stay if you need a tool that is actively evolving. Agile CRM has been quiet for years; the interface and feature set show it, and support responsiveness is the main complaint I hear. Hiver ships regularly and backs its plans with 24/7 support, which matters when email is your support channel.
Knowlix
I could not verify this one. The catalogue lists Knowlix as a B2B knowledge base and self-service product, but I couldn't extract reliable current product or pricing information from its site, and the name is easy to confuse with an unrelated AI work platform. Per my own rules, I'm skipping it as a recommendation rather than inventing claims for it. Treat its entry in the ranked list below as unverified.
Moneypenny
Moneypenny is not software — it's a human answering service. Real receptionists answer your calls, take messages, qualify leads, and push results into your CRM, 24/7, with bilingual answering. US pricing at time of writing starts around $99 per month for 50 calls and $165 per month for 50 minutes, scaling to roughly $985 per month for 500 minutes, with per-minute overage charges and no contract. Switch if what you actually need is someone picking up the phone, not a better shared inbox — it answers a different question than Hiver does. Stay if your problem is email workflow: Moneypenny won't assign, track, or report on your inbox, and it costs real money per conversation where Hiver costs money per seat.
Tidio
Tidio combines live chat, ticketing, and Lyro, an AI agent aimed at small e-commerce and service businesses. It has a genuine free plan (50 billable conversations, 50 one-off Lyro conversations), and paid usage is metered: Starter ran about $24 per month billed annually at time of writing for 100 billable conversations, with prices scaling by conversation volume, Lyro AI conversations, and Flows reach. Switch if chat and an affordable AI agent matter more than email workflow — the entry price is far below Hiver's and the free tier lets you test properly. Stay if email is your primary channel and you need SLAs, deep reporting, and shared-inbox controls: Tidio's helpdesk is lighter, and metered conversation pricing can spike with volume in ways seat pricing doesn't.
How to choose
Start with your channel. Email-dominant teams on Google Workspace should trial Hiver against Freshdesk — that's the honest head-to-head, and the decision is Gmail-native workflow versus a deeper standalone desk at a comparable or lower price. Chat-heavy product companies should look hard at Intercom and Tidio, with Tidio for small budgets and Intercom for AI resolution depth. If your CRM is already HubSpot, Service Hub is the low-friction answer. If cost per seat is the dominant constraint and the team is tiny, Agile CRM's free tier is real. And if the actual gap is phone coverage, none of these help — that's Moneypenny's territory.
FAQ
What is the best free Hiver alternative? Freshdesk's free tier has been retired, so the strongest free options today are Agile CRM (10 users, ticketing included) and Tidio (free plan with 50 conversations per month). HubSpot's free service tools are also workable for a small shared inbox, though branding and limits apply.
Is Hiver cheaper than Zendesk? For a small team on Hiver Growth versus Zendesk Suite Team, Hiver is comparable or cheaper at time of writing ($25 versus $55 per user per month on annual billing), and Hiver keeps agents in Gmail. Zendesk wins on channel breadth and marketplace depth as you grow. Note that Zendesk Sell specifically is being retired in 2027 and shouldn't be part of this comparison.
Can I move off Hiver without losing my email history? Yes. Hiver sits on top of shared mailboxes, so your conversations remain in Gmail or Google Workspace after you cancel. The migration work is reassigning workflows, SLAs, and saved replies into the new tool — budget a few days, not a few weeks.
